Business owners, small and large, use the W-2 form to report wage and salary information to employees. The completed form tells your employees the amount of money they earned in a tax or calendar year, plus withholding information, such as federal and state tax if applicable. By law, W-2 forms must be distributed to all employees by Jan. 31 following the close of the tax year. If you are a small business that does not own tax software, use a free service offered by the Social Security Administration to fill out and print W-2 forms.
.Sign up for a free business account with the Social Security Administration on their website socialsecurity.gov. As a small business, this service allows you to generate and print up to 20 W-2 forms at no charge.
.Enter the company information into the W-2 template. This will include your company name, address, telephone number and tax identification number.
.Input each employee’s identification information, such as their name, address and Social Security number. Enter the annual corresponding wage, salary and withholding data from your payroll records. Double-check the information to ensure accuracy; your employees use this information for their income tax returns and, therefore, the data must be precise to avoid any tax errors.
.Print the forms. Inspect the printed forms one more time for any errors. If the forms are accurate, place them in company envelopes and mail them to your employees.
